Quarterly SEO report template (QBR)
A quarterly SEO report template for the business review: goals against results, what worked, what didn't, and the plan and budget for next quarter.
How to use it: send the link two days before the quarterly business review, so the meeting is for decisions rather than for reading. The monthly reports cover the detail. This one answers "is it working, and what next?"
Example review: Ledgerline, Q3 2026 (July–September). Prepared 6 October 2026 for Ledgerline's marketing and finance leads (a fictional client). Sources: Search Console, GA4, CRM.
The quarter in four lines#
- Organic sign-ups: 1,286, against a goal of 1,200 and 1,041 in Q2.
- Organic clicks: 48,300, up 18% on Q2.
- The comparison-page rebuild paid off in September: two pages back in the top five.
- The payroll launch slipped to November, so its content moves to Q4.
Goals and results#
| Goal set in July | Target | Result | Status |

| Organic trial sign-ups | 1,200 | 1,286 | Met |
| Top-three rankings (40 tracked keywords) | 15 | 16 | Met |
| New comparison pages | 4 | 4 | Met |
| Payroll content cluster | 8 pages | 0 | Moved to Q4 |
Numbers#
| Metric | Q3 2026 | Q2 2026 | Change | Q3 2025 |
|---|---|---|---|---|
| Organic clicks | 48,300 | 40,900 | +18% | 31,200 |
| Organic sign-ups | 1,286 | 1,041 | +24% | 690 |
| Sign-up rate from organic | 2.7% | 2.5% | +0.2 pts | 2.2% |
| Non-branded share of clicks | 64% | 59% | +5 pts | 51% |
What worked#
- Comparison pages as tables. After the August rebuild, "xero vs quickbooks" went from 14 to 4 and the page converts at 5.1%, twice the site average.
- Guides linking to product pages. Adding links from twelve guides lifted the bookkeeping page from 9 to 6.
What didn't#
- Nonprofit landing page. Ranks third, but 1.1% of visitors sign up. Our view: the page leads with features, while the searchers are comparing prices. Worth testing a pricing-first version.
- Two slow months of link building. Four links earned against a plan of ten. The outreach list was too broad.
Q4 plan#
- Payroll cluster: eight pages timed to the November launch.
- Nonprofit page: pricing-first rewrite, measured over six weeks.
- Year-end content: 1099 and tax deadline pages live by 1 December.
- Link building: narrower list of 40 accounting publications and associations.
Budget#
| Q3 actual | Q4 proposed | |
|---|---|---|
| Retainer | $18,000 | $18,000 |
| Content production (freelance writers) | $6,400 | $9,600 |
| Tools | $900 | $900 |
| Total | $25,300 | $28,500 |
The Q4 increase covers the eight payroll pages.
Decisions needed at the review#
- Approve the Q4 content budget.
- Confirm the payroll launch date so content can be scheduled.
- Choose who on the product team reviews the payroll pages for accuracy.
